Privacy Policy

Last updated: May 6, 2026

This Privacy Policy explains how People & Co. ("we") collects, uses, and protects personal data through the People & Co HR Intelligence Platform.

What we collect

  • Account data — name, email, role for users we create.
  • Client profile data — company name, sector, country, organisational details you submit on your client record.
  • Survey responses — the answers respondents submit via one-time-use links.
  • Operational metadata — IP, timestamps, opened/submitted state for surveys.

How we use it

To deliver the consulting engagement: generate AI-assisted reports, job descriptions, policies, handbooks, and processes; track engagement progress; and communicate with you.

AI processing

Survey content and client profile context are sent to large-language-model providers (currently Groq and Google Gemini) under data-processing agreements that prohibit training on our payloads. Outputs are stored in our database. We do not retain prompts or completions in any third-party log accessible by other customers.

Sharing

We do not sell personal data. We share data only with sub-processors under contract (mail delivery, AI inference, cloud hosting) and with your engaging client's authorised personnel.

Retention

Client and survey data is retained for the duration of the engagement plus ninety (90) days for export, then deleted unless legal obligations require longer retention.

Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and you may object to certain processing. Contact us to exercise these rights.

Security

Data is encrypted in transit (TLS 1.2+) and at rest. Access to admin functions is role-gated. Survey respondent links are single-use and expire on submission.
